Read the response instructions first
Some adverts give a timeline or say that only shortlisted applicants will be contacted. Respect those instructions. If no timing is provided, allow a reasonable interval before asking for an update and avoid sending repeated messages through several channels.
Use the existing conversation where possible
Reply to the recruitment email thread or use the contact route given for the vacancy. Include the job title and reference. Do not search for unrelated personal contact details or message several employees with the same enquiry.
Application follow-up example
Subject: Application follow-up — [role], [reference]. Dear [name or Hiring Team], I submitted my application for [role] on [date] and remain interested in the opportunity. Could you please let me know whether there is an update on the process or anything further you need from me? Thank you for your time. Kind regards, [name].
After-interview example
Dear [name], Thank you for speaking with me about [role]. I appreciated learning more about [specific responsibility discussed]. Our conversation reinforced my interest in contributing my experience in [relevant skill]. Please let me know if I can provide any further information. Kind regards, [name]. Use a genuine detail from the discussion and keep the note brief.
When a promised update has passed
Refer to the agreed timing without sounding accusatory: “You mentioned an update around [date], so I wanted to check whether the timeline has changed.” Hiring processes can shift. Ask for clarity and continue your other applications rather than treating silence as a definitive answer.
If you have another decision deadline
Explain the deadline accurately and ask whether the employer can share its expected timeline. Do not invent another offer to create urgency. Be prepared for the employer to be unable to accelerate its process.
Record the contact and move forward
Note the follow-up date in your tracker. If there is no response after a reasonable follow-up, avoid daily messages and maintain your wider search. A follow-up can clarify the process; it cannot guarantee a decision or change the requirements of the role.
