Decide what the letter must accomplish

A cover letter should explain the connection between your evidence and the vacancy. It does not need to repeat the whole CV. Follow the advert’s instructions about whether a letter is required, how long it should be and where it should be submitted.

Open with the role and your relevant direction

Name the role and reference, then state the experience or interest that makes the application coherent. If you are changing careers, briefly connect your previous work to the tasks in the new position. Avoid a long introduction that could apply to any employer.

Use one or two strong examples

Choose an example that addresses a central requirement. Explain what you did and the result, using numbers only when you can support them. If your evidence comes from study or volunteering, name that context. The purpose is to help the reader assess fit, not to exaggerate your background.

Explain why the work interests you

Refer to the responsibilities or a verified aspect of the organisation. “The role combines customer enquiries with maintaining accurate records, which matches the work I enjoyed in my previous position” is more specific than general praise. Do not copy an employer’s slogans in place of your own explanation.

Adapt this short example

Dear Hiring Team, I am applying for the Operations Assistant role, reference [reference]. In [accurate context], I coordinated [task] and maintained [relevant record]. When [problem arose], I [action], which resulted in [supported outcome]. The role’s focus on [responsibility] matches the skills I would like to contribute and develop. Please find my CV attached. Thank you for considering my application. Kind regards, [name].

Keep the example truthful

Replace every placeholder, remove any line that does not fit and use your natural voice. An employer may ask about the example later. Do not claim availability, qualifications or results that you cannot substantiate. If you used writing assistance, review every factual statement yourself.

Check the submission details

Confirm the employer name, job title, reference, recipient and attachments. Use a clear email subject if submitting by email and follow any file instructions. Save the final version with the advert. A correctly addressed, relevant letter is more useful than a longer document filled with general claims.
